Margin Validation Rules for Quotes
Introducing a Profit Hold process (Phase 1) for quotes designed to prevent quotes that fall below an organization’s required profitability threshold from progressing without review and approval.
Key capabilities include:
- Configurable Profit Threshold: Administrators can establish a global minimum based on either margin or markup percentage through document settings.
- Automatic Quote Review: Quotes are evaluated against the configured threshold. This is independent of the account price profile or tiers and can act as a way to catch documents before they become orders. Quotes below the minimum are prompted to be placed in Review by the user. Quotes in review cannot proceed until approved or rejected.
- Cost Validation: Products or custom lines with a zero or missing cost automatically trigger a Profit Hold, helping prevent incomplete cost information from bypassing profitability loss.
- Controlled Conversion and Checkout: In Review (held) quotes cannot be converted to sales orders. Within the Store experience, held quotes cannot proceed to the cart, and carts that fall below the configured threshold cannot complete checkout. If the user chooses to send a notification to a representative for Cart review, that cart will be converted to a Quote (In Review) and a system message will be sent to the sales representative.
- Clear User Experience: Internally, affected quotes are identified as “Quote (In Review) – PROFIT HOLD.” Store users see “Quote (In Review)” and receive guidance to contact or notify their sales representative when review is required.
- Approval Permissions: Organizations can control which users have authority to approve Profit Holds through Access Profile permissions. Authorized users can approve a held quote directly from the quote.
- Existing Quote Evaluation: When Profit Hold is enabled, existing open, non-converted quotes are evaluated against the applicable threshold. Approvers receive in-application notifications where action is required.
- Threshold Changes: Future changes to the global threshold cause unapproved quotes to be re-evaluated, while previously approved quotes remain approved.
- Quote Rejections: Rejected quotes will move from In Review back to Open to allow for the sales rep, or the end contact, to make changes to the quote and try to convert to order again.
- Activity Logs: All In Review, approval, and rejection activity is captured in the document activity log.
Overall, Profit Hold provides an automated safeguard around quote profitability while giving authorized sales personnel a controlled approval path for exceptions.
To enable, go to Admin > Company Settings > Documents and expand the Quotes section. Within the Quotes section, go to “” and select either margin or markup and set the percentage amount (format xx.xx).
When enabled in company settings, a new button will appear in the Quote footer called “Review Quot,e” which is situated to the left of the ‘Print/Send’ button on the far right.
Approver access right. To make sure the proper users can approve quotes in Review, the new access right selection needs to be enabled. By default, users on the default access rights for “Admin SalesRep Buyer” and “Admin SalesRep” will have this setting enabled. All custom access rights profiles will need to be updates as needed by the business (see below).
System emails and Inbox notifications
Inbox: A new message will appear in the sales representative’s inbox that lets them know that there is a quote that needs to be reviewed. The message will look something like, “Doc #SMBI1001078 for DTH (Customer #5813) needs margin/markup approval. Comment: Please approve this one-time exception.”
Email Notifications: Two new email communications have been added to assist in the quote review process. One for quote is In Review and the other for the quote In Revies was approved or rejected. These templates can be modified in Admin > System E-mails > System Generated, in the bottom of the Document section.

- Streamline View for Quotes
Under My Preferences > General
New default setting to a user’s My Preferences that will allow users to open a document with the 2nd and 3rd rows collapsed. These are the billing/shipping fields and the custom fields rows.
TEXT: “Auto-collapse document sections for Billing/Shipping and Custom Fields, sections.”
- Default Document Views & Templates by Document Type
Under My Preferences > Print / Email Settings, users can now set default document templates and views (Active View, Standard, Supplier, All Suppliers) independently for Quotes, Sales Orders, and RMAs. Use “Set Default Document View” (second section below) to allow these defaults to be automatically applied when opening the delivery window for print, PDF, or email. The purpose of these settings is to assist sales users in making sure the correct ‘view’ and template are selected when they go to the document delivery window via the Send / Print button.
- Optional Line-Level Attributes on Email, Print & PDF
Enhanced the document delivery templates to display more optional item attributes. When enabled, line item attributes showing Discontinued, Replacement Product (with link), Non-Returnable, and Special Delivery (e.g., Inside Delivery) will be shown directly in email, print, and PDF outputs.
- Listed as the Optional Attributes checkbox in both My Preference print settings and on Send (print preview).
